Operations Update

NEW INFORMATION

  1. New Menus – New menus are in the final stages of production. They are being delivered this week.  Unfortunately, due to a delay in the Hot Pepper Bacon Jam delivery from GFS, we will postpone the ‘go-live’ date by one week.  The new start date for the menus is Wednesday, October 23.  Your digital cookbook has already been updated with the necessary changes including the addition of the ‘Shareables’ category.  Attached is a Product Prep Guide and videos for ‘Shareables’.  One additional note: In moving the Fruit Pancake Tacos out of the Bottomless Griddle and into the Shareables category, they are no longer bottomless.   Shareables Product Prep Guide   Biscuit Flight Prep Video  Firecracker Bacon Prep Video
  2. Instant Debit Cards – Be advised, your Instant Debit Cards expire 2 years after they were sent to you. This means many are beginning to expire now. If your staff member has an expired card, and you have non-expired new cards in the back, you can just issue them a new one. However, if your new cards in the back have expired or are about to expire you need new cards ordered.  The only way to order new cards is through Philip and they take approximately 2 weeks to be delivered.  If your new ones are expiring, please contact Philip immediately to get new cards ordered.
  3. Gourmet Coffee – First rule: impress your guests! There is some considerable confusion about whether your restaurant should carry gourmet coffee. This product is no longer on our menu; however, it is still available from Caruso’s Coffee.  This means that this is an individual store decision.  You are not required to carry flavored coffee, but if you find that your restaurant has a substantial demand (much like Pumpkin Stuffed French Toast), you may want to go out of your way to impress your guests.  Please contact Caruso’s Coffee if you wish to stock flavored coffee in your store.
  4. Social Media Coupon – Be advised, in the Columbus, Ohio area we will be running a coupon using influencers on several social media platforms. Guests will receive a QR code to redeem this coupon.  Please make sure your staff is aware and prepared to redeem these coupons beginning Wednesday October 16.

RECURRING TOPICS

  1. Allergens Disclaimer – Be advised, when you get the new menu you will see a disclaimer that is a new health department requirement. This is to let guests know that we have certain allergens in the building that may affect some guests.  Little needs to be done here, but the staff needs to know in case our guests have any questions.
  2. Holiday Season – We are only a few short weeks away from our holiday season. Please look for your Holiday Hours signs and have them ready to place in your lobby.  Here is a brief list and synopsis on what sales volume to expect as it compares to normal sales so that you may staff appropriately. Consider this as a general reference though; it is always wise to look at your individual store sales’ trends for exceptions:
    1. Columbus Day/ Indigenous Peoples’ Day (Monday, Oct 14) – Many municipalities do not recognize this as a federal holiday any longer (in conjunction with the recognition of Junteenth instead) and will therefore not impact sales as in years past. However, some do.  Check your local schools and government offices and adjust your sales expectations accordingly.
    2. Halloween (Thursday, Oct 31) – No change. However, if your staff chooses to dress in costumes on this day or often the Sunday before, this will be permitted (within good taste) and our social media team would love photos!
    3. Daylight Saving Time Ends (Sunday, Nov 3)- Up 25%
    4. Election Day (Tuesday, Nov 5) – Up 25 – 35% (Federal elections have more impact than local)
    5. Veterans Day (Monday, Nov 11) – Up 25 – 35% (Falling on a Monday will increase its impact)
    6. Day before Thanksgiving (Wednesday, Nov 27) – Up 20%
    7. Thanksgiving Day (Thursday, Nov 28) – In many locations volume is the same as a normal Thursday, but condensed to only 4 hours, as we are only open 8am-Noon.  Makes for a busy rush, so be prepared!
    8. Black Friday (Friday, Nov 29) – Very busy.  Up 75-150% from a normal Friday.  Sometimes even busier than Saturday or Sunday of that weekend.
    9. First three weeks of December sales volumes begin to dip. Don’t over-staff!
    10. Christmas: The week leading up to Christmas Day (whenever the kids get out of school; probably Dec 19 or 20 this year) begins to get busy.  Each weekday is 50-75% up on a normal weekday.  Christmas Eve will be on Tuesday, Dec 24 and will feel like a busy Saturday.  We are closed Wednesday, Dec 25 Christmas Day (only day of the year) and then Thursday, December 26 will be like a busy Sunday, and the 27th – 31st will be the equivalent of Saturday-like sales.  We often set weekly sales records during this week.  No one-single day is like a ‘Mother’s-Day-kind-of-busy’, but each day is busier than normal, which makes for an over-all busy week.  You will want as much staff available throughout this week as possible.
    11. New Year’s Eve (Tuesday, Jan 31) – Expect busy Saturday-like sales.
    12. New Year’s Day (Wednesday, Jan 1) –Other than Thanksgiving Day, this is the only day of the year that our hours change because we open late.  Hours are 8am-3pm. Consider this day like a busy Saturday.  Business will start slow, but a strong late morning and lunch rush should be expected.
    13. Business will then stay strong through the balance of the weekend and then fall off on Monday, Jan 6.  At that point, cut staff and start cleaning!
  3. Gift Boxes – One of our Franchise operators requested a way to sell gifts for the upcoming holiday season. Therefore, we have put together holiday gift boxes!  These are designed to be very small, easy gifts for our guests to purchase and give to friends and family during the holiday season.  Attached is the SOP for these boxes!   Gift Box Assembly SOP
